Military Students – Leave of Absence

Students who serve in the National Guard or Reserves who are ordered to active military service in the Armed Forces or are requested to work for the federal government during a national emergency are given full refunds when applicable and provided priority readmission. Please contact your instructors, Academic Advisor and Veterans Certifying Official to inform them of your potential leave of absence ASAP. Students must complete the Appeal to the Withdrawal/Refund Policy Form and attach a copy of their Military Activation Orders. For assistance, please contact the Enrollment Services and Student Records Manager or the Student Veterans Specialist.

Guidelines for Military Activation and Deployment

The following guidelines apply if you are:

  • Deployed, ordered, or inducted into active service in the armed forces of the United States
  • Requested to work for the federal government during a national emergency or limited national emergency
  • Unable to complete some or all of your classes due to deployment

If you are called to active duty while enrolled, we encourage you to contact the Student Veteran Specialist or the Veteran Certifying Official at veterans@morainepark.edu or 920-924-3489 to discuss your options.

This policy applies to students that are enrolled and attending classes during the term of being deployed/activated. If you were on deployment or active duty prior to the term you cannot use this option.

How Will Deployment Affect the Financial Aid I Receive?

Be aware that changes in enrollment may require Financial Aid and/or Veterans benefits repayments. These guidelines are not under the discretion of Moraine Park Technical College and are determined by the federal institutions administering the aid.

How Will My Tuition and Fee Refunds Be Handled?

Refunds will be sent in the form of a check by mail to you, the student. The refund will be sent to the address you provide.

We recommend setting up E-Refunds in your student account to receive your refund directly to your bank account.

Book refunds are determined by Moraine Park’s Spirit Store on a case-by-case basis. Please contact the Spirit Store directly and provide the books, a purchase receipt and a copy of activation orders.

What if I Use Loans To Cover My Education?

If you received loans, you should contact the National Student Loan Data System (NSLDS) at 800.433.3243 for assistance with determining the correct type of loan deferment or forbearance.

If you are unable to contact NSLDS, a person in possession of power of attorney for you may initiate contact.

Return of Financial Aid

Tuition and fee refunds will first be directed to repay Federal Financial Aid if a Return of Financial Aid is required.

In some cases, Moraine Park Technical College is required to utilize a portion of tuition and fees refunded. MPTC will repay the institution and student portion of Federal grants.

What if I am receiving educational benefits?

If you are receiving benefits, contact the Veterans Certifying Official at veterans@morainepark.edu or 920-924-3210. Deployment or activation can impact benefits in a variety of ways, so it is best to get personalized assistance.

Class Withdrawal

In accordance with Wisconsin Act 75, we make every effort to ensure a military deployment does not have a negative impact on your academic progress. If you must withdraw from classes due to military activation or deployment, a 100% refund of tuition and fees is guaranteed.

How Can I Withdraw From Classes?

  • To complete a class withdrawal, you must submit a copy of your active-duty order to substantiate military activation.
  • If you are unable to do this, a person who possesses power of attorney for you may submit it in your place. They must provide your active-duty orders as well as legal documentation of power of attorney.

Due to Wisconsin Act 75, students have the following options:

  1. Drop all classes for a full refund.
  2. Take an incomplete and complete the classes upon return.
  3. Complete classes prior to deployment. Early completion is only available if the deployment/activation is occurring within 30 days of the end of the term and is subject to instructor approval.

How Will Deployment Impact My Academic Progress?

How Will Deployment Affect My SAP (Satisfactory Academic Progress) Status?

Classes withdrawn due to activation will not be counted as credits attempted and will not adversely affect Satisfactory Academic Progress.

You are strongly encouraged to meet with your program advisor to discuss options. Potential completion of coursework may be discussed with instructors.

What Is the Process for Program Readmission?

After deployment, you may request readmission to your prior academic program.

To do this, submit the Program Readmission After Military Activation/Deployment form along with a copy of your deployment papers or your most recent DD214 Form.

Can I Study Under a Different Program?

If you request admission to a new program of study, you must submit a new program application. You may be able to request an earlier registration date.
